  • 1.1. Sport2Be, a Belgian non-profit association (Association sans but lucratif – ASBL), with its registered office at Avenue de Tervuren 189, 1150 Woluwe-Saint-Pierre, Belgium, registered with the Crossroads Bank for Enterprises under number 0649.754.696, processes your personal data in accordance with the provisions set out below.
  • 1.2. Sport2Be acts as the data controller, within the meaning of the European General Data Protection Regulation (“GDPR”), in relation to the processing of your personal data.

2. For What Purposes Do We Process Your Personal Data?

  • 2.1. You contact us via the contact form on our website or by email
    2.1.1. In this case, we process your personal data solely for the purpose of responding to your enquiry.
  • 2.2. You are a member of Sport2Be, a community worker, a member of Sport2Be’s staff, or an occasional collaborator
    2.2.1. In this case, we process your personal data for the purpose of managing our members and collaborators.
  • 2.2.2. We process your personal data in order to communicate with you.
  • 2.2.3. We process your personal data in order to comply with our legal and regulatory obligations.

2.3. You are a child participating in Sport2Be activities, or their parent or legal guardian

  • 2.3.1. In this case, we process your personal data for the organisation and proper delivery of our sports and educational activities.
  • 2.3.2. We process your personal data for the purpose of promoting Sport2Be and the activities it organises.
  • 2.3.3. We process your personal data for statistical purposes, including reporting on our activities to organisations that collaborate with us and supporting the preparation of grant and funding applications.

2.4. You are interested in joining our team as a sports coach, development coach or volunteer, or you wish to share an innovation or idea with us

  • 2.4.1. In this case, we process your personal data in order to communicate with you and assess your request or proposal.
  • 2.4.2. We process your personal data to assess whether your profile meets Sport2Be’s needs, determine the appropriate legal framework for our contractual relationship, and ensure that children are supported and supervised in a professional manner.
  • 2.4.3. We process your personal data in order to comply with our legal and regulatory obligations.

2.5. You wish to financially support us through a donation or micro-donation

  • 2.5.1. We process your personal data in order to administer the financial support you wish to provide and to thank you for your contribution.
  • 2.5.2. We process your personal data in order to keep you informed about future Sport2Be activities, initiatives and promotional campaigns.
  • 2.5.3. We process your personal data in order to maintain transparent accounting records of donations received and to assess the effectiveness of the various promotional campaigns conducted by Sport2Be that result in such support.

2.6. You are a partner or ambassador of Sport2Be

  • 2.6.1. We process your personal data in order to maintain communication with you, keep you informed about our activities and initiatives, and invite you to our events, helping us to promote them.
  • 2.6.2. We process your personal data to ensure the proper use of the support you provide, whether in the form of skills, time or financial resources, and to report transparently and objectively on how this support is used.
  • 2.6.3. We process your personal data to inform visitors to our website and recipients of our promotional materials about our partnerships, but only with your consent.

3. Who Is Involved in the Processing of Your Personal Data?

  • 3.1. Sport2Be may engage third-party service providers, acting as data processors, to process your personal data (for example, IT service providers). Sport2Be undertakes to engage only data processors that provide sufficient guarantees regarding the lawfulness, transparency and security of data processing.
  • 3.2. Sport2Be may share your personal data with other partner organisations involved in Sport2Be’s activities, where necessary for communication and information purposes with our stakeholders.
  • 3.3. We may also disclose your personal data to other recipients where we reasonably and in good faith consider such disclosure necessary or appropriate, for example to protect our rights and legitimate interests, or the security and safety of our organisation, infrastructure or activities, while complying with our obligations under the GDPR.
  • 3.4. Sport2Be will not transfer your personal data outside the European Economic Area (EEA).

4. What Is the Legal Basis for Processing Your Personal Data and How Long Do We Keep It?

  • 4.1. We process your personal data only where at least one of the following legal bases applies:
  • a) The processing is necessary for us to comply with our legal and regulatory obligations;
  • b) The processing is necessary for the purposes of the legitimate interests pursued by Sport2Be or by a third party, including:
  • the proper operation and continued development of Sport2Be’s activities and the continuous improvement of our organisation;
    keeping our existing contractual relationships informed about Sport2Be activities that we consider relevant to them and promoting such activities;
  • c) The processing is necessary for the performance of a contract to which you are a party, or in order to take steps at your request prior to entering into a contract;
  • d) The processing is necessary to manage the support you provide to us, whether in the form of time, skills or financial contributions;
  • e) You have given your consent to the processing of your personal data for one or more specific purposes.
  • 4.2. We will retain your personal data only for as long as necessary to fulfil the purposes described above, unless a longer retention period is required or permitted by law.

  • 5.1. As a data subject, you may contact us at any time, subject to the applicable conditions and limitations under the GDPR and upon providing acceptable proof of your identity, to exercise the following rights:
  • Right of access: to obtain confirmation as to whether we process personal data concerning you and, where applicable, to request access to that data;
  • Right to rectification: to request the correction of inaccurate personal data;
  • Right to completion: to request that incomplete personal data be completed;
  • Right to erasure: to request the deletion of your personal data, where applicable;
  • Right to restriction of processing: to request that the processing of some or all of your personal data be restricted, where applicable;
  • Right to object: to object to the processing of your personal data in certain circumstances;
  • Right to data portability: to request that your personal data be provided to you or transferred to another data controller, where applicable;

Right to withdraw consent: where processing is based on your consent, you may withdraw your consent at any time. The withdrawal of consent does not affect the lawfulness of processing carried out before the withdrawal.
